What "Process Improvement" Actually Looks Like
In high-performing operations managers, process improvement is not a project — it's a habit. They notice inefficiency, quantify its cost, design a solution, implement it with their team, and measure the result. Candidates who are genuinely strong in this area will be able to give you multiple specific examples without hesitation.
Structured Questions for Process Improvement
Identifying Improvement Opportunities
"Tell me about a process inefficiency you identified in your operation that nobody else had noticed. How did you spot it?"
Look for: Analytical observation, use of data vs. intuition, proactive rather than reactive mindset.
Designing the Solution
"Walk me through a specific process improvement you designed and implemented. What methodology did you use?"
Look for: Structured approach (DMAIC, Lean, root cause analysis), stakeholder involvement, risk consideration.
Implementation
"Tell me about a time a process change you implemented was resisted by the team. How did you handle it?"
Look for: Change management skills, ability to bring people with them rather than mandate compliance.
Measuring Impact
"What was the most significant operational improvement you've made in your career? How did you measure its impact?"
Look for: Specific quantified results (time saved, cost reduced, error rate decreased). Candidates who can't quantify impact may not have been rigorous in their measurement.
Sustaining Change
"Tell me about a process improvement that initially worked but then regressed. What caused it and what did you do?"
Look for: Understanding that process changes require embedding, not just implementing. Awareness of why improvements fail.
